Welcome to Ink & Initial Notary Co. By requesting or booking any service, you agree to the following Terms & Conditions.

1) Who We Are

Ink & Initial Notary Co. (“we,” “us,” “our”) provides mobile notary services, e-notarizations (with signer physically present), estate-planning signings, I-9 verifications, and apostille coordination services in Charlotte, NC and surrounding areas.

2) Not Legal Advice

We are not attorneys and do not provide legal advice. Nothing on our website, emails, or phone calls should be considered legal guidance. You are responsible for confirming your document’s legal requirements.

3) Identification & Signer Requirements

  • All signers must present a valid, unexpired government-issued photo ID.

  • Documents must remain unsigned until the notarial act.

  • We may refuse service if identity, willingness, competence, or document readiness is in doubt.

4) Location Policy

We provide mobile notary appointments at homes, businesses, attorney offices, hospitals, nursing facilities, and other approved locations.

For home visits, clients must ensure a safe and professional signing environment (adequate lighting, all signers present, pets secured).

5) Document Limits

We cannot notarize:

  • Vital records (e.g., birth, marriage, death certificates)

  • Certified copies issued directly by government offices

  • Any document prohibited by North Carolina law

For apostilles, certain documents must first be certified by the issuing agency before submission.

6) Apostille Coordination

Turnaround times are estimates.
Processing through the North Carolina Secretary of State is typically 1–3 business days, but may vary.
We are not responsible for delays caused by USPS/UPS/FedEx or the Secretary of State.

7) Fees, Deposits & Payment

  • Deposits. Certain services require a deposit at booking and the deposit is applied to your total fee:
    Apostille/Legalization: $100 deposit at scheduling. Fully refundable if canceled ≥24 hours before the appointment. Non-refundable if canceled <24 hours before or after processing work has begun.
    Estate Planning Signing: $75 deposit at scheduling. Fully refundable if canceled ≥24 hours before. Non-refundable if canceled <24 hours before.

  • Balances. Remaining balances (including any government, courier, shipping, witness, or travel fees) are invoiced after intake or at time of service, as applicable.

  • Transparency. All fees are reviewed in advance. No hidden charges.

  • Payment methods. We accept card payments via our secure processor; payment is due per your invoice terms.

  • After-Hours Appointments. Appointments requested outside of regular business hours (before 8:00 AM or after 7:00 PM Monday–Friday, and before 8:00 AM or after 5:00 PM Saturday–Sunday) may be subject to an additional $50 fee. This will always be disclosed and agreed to before the appointment.

8) Travel & Mileage

8A. Mileage. Travel within 25 miles of Charlotte city center is included. Appointments beyond this distance may incur a flat $50 travel fee. Apostille services and Estate Planning signings are excluded from this limit and may be scheduled at greater distances, with travel fees quoted individually.

8B. Grace & Wait Time. 10-minute grace period included. After the grace period, wait time is billed at $1/minute (max 15 minutes).

8C. No-Show / Not Ready. If the appointment cannot proceed (more than 15 minutes late; missing/invalid ID; documents signed early; absent/unprepared signers; wrong location), we may cancel and assess a $35 call-out/no-show fee. This aligns with our Cancellation & Refund Policy.

9) Reschedules, Cancellations & Refunds

  • Refundable window. Deposits are fully refundable if you cancel ≥24 hours before your appointment.

  • Inside 24 hours. Deposits become non-refundable if you cancel <24 hours before or (for Apostille) after processing work has begun.

  • Reschedules. You may reschedule once at no charge if requested ≥24 hours before. Additional reschedules may incur a fee.

10) Privacy

We handle your information in line with our Privacy Policy. We may use secure third-party tools (such as HoneyBook, Calendly and payment processors) to manage scheduling and payments.

11) Governing Law

These terms are governed by North Carolina law. Venue: Mecklenburg County courts.
